Everllence aimed to establish consistent management of temporary workforce processes across seven locations. A central Vendor Management System (VMS) was introduced to automate workflows, reduce operational load for HR and IT, and consolidate and standardise service provider governance.

By implementing a central master vendor tool and digital contract management including e-signatures, processes were standardised across locations and countries. The objective was to enable transparent and efficient control of all relevant workflows. HR, IT, and project management translated technical, regulatory, and operational requirements into a consistent system design. In parallel, employees were trained early and enabled to work effectively with the new set-up.

A standardised, cross-site vendor management system

The new Vendor Management System introduced an end-to-end digital solution to coordinate and standardise temporary workforce processes across locations. Digital signatures replaced paper-based contracting, enabling fully digital processing while significantly reducing administrative effort.

 

Automated workflows and clearly defined roles increased transparency and simplified day-to-day operational steering. At the same time, master vendors took on key responsibilities such as time data management and invoice verification —delivering a tangible relief for internal HR and IT teams.

 

Overall, the new system increased efficiency, reduced complexity, and established a strong foundation for structured, partnership-based collaboration with external service providers.
